1. Remove what you don't need to see-
If you don’t need to see an email, don’t let it come to your inbox.
Filter out emails you don’t need:
When you get the email and realize you don’t need that type of email, create the filter from within the email.
2. Highlight what you do need to see-
An email from your manager directly to you should look different than an email from your manager to the whole org! Highlight the emails you need to see first by having them stick out in your inbox.
- Use the advanced Filter Ideas to highlight the things you do need like manager emails, Google Doc comments, or external emails.
If you don’t want a full label with a name, create a colored label flag to help them stick out
3. Tell 'Future you' what you need to do with the email
Instead of marking emails as unread, Star those that need action later. Consider setting up multiple inboxes for different tasks. Archive finished emails to keep your inbox clean.
4. Use the 4 S's of Gmail
Snooze an email for later– Temporarily remove emails from your inbox and have them reappear at a specified time with Gmail’s Snooze feature.
- Schedule send emails to send at a specific time- Control when your emails are delivered with Gmail’s “Schedule send” feature for better timing and organization
- Send & archive emails that you’re done with at the same time.
